Services Administrator

Celigo, a software and consulting services company that simplifies the adoption of Software-as-a-Service (SaaS) applications by providing innovative products and services, currently has an opening for a Services Administrator. As part of Celigo's Services team, the services administrator will play an integral part in keeping Celigo's client services running smoothly. This position provides significant growth potential, with the ability to expand your career into software consulting and/or project management. You will report to the Director of Services and work an average of 10-20 hours per week, to start, with the potential for further expansion. This is a high impact role that requires business acumen, organization and analytical skills, and an appetite to learn and grow.
Responsibilities include:

Assist the Director of Professional Services in managing the services organization by suggesting and implementing process improvements, increasing overall efficiency, and enforcing processes and deadlines.

Project & Resource Scheduling
Act as Services' initial point of contact with customers. Send welcome emails, gather project-related information, send kick-off emails.
Assist with resource scheduling. Participate in scheduling calls, take notes, and act upon decisions made. Ensure all projects are resourced and scheduled on time.
Setup project records and supporting information.

Project Maintenance
Keep project records up to date. This is particularly important for projects that do not have an assigned project manager.
Provide weekly reports on project statuses. Notify manager if projects require additional action or escalation.
Review all projects and enforce project update processes.

Reports and Analytics
Create, schedule, and maintain project reports and reporting dashboards.
Review reports to identify at-risk projects, prepare reports for the Management team to review, etc.

Time Entry: Reconcile logged time against projects & project tasks.
Participate in all Services team meetings, maintain & update the wiki, and assist with rollout of team or company-wide initiatives.
Assist with development & refinement of templates in Google Documents and/or Microsoft Office, including spreadsheets.


Ideal Candidate (Qualifications):

Bachelors Degree or equivalent.
A resourceful, self-directed quick learner.
Superior writing, grammatical, composition and mathematical skills.
Exceptional organizational skills, with strong analytical and problem solving skills.
Excellent Microsoft Office and/or Google Documents skills, especially Word, Excel and PowerPoint.
Ability to multi-task and prioritize in a constantly changing environment.
Strong, effective, collaborative interpersonal skills, as well as ease developing strong working relationships to ensure superior customer service and solutions.
Small and/or early-stage high-tech company experience is optimal.
2+ years working within a professional office environment is optimal.
Data entry/database and CRM or ERP system experience is optimal.

This position will initially be offered as a part-time contract position but could shift to a part-time or full-time employee position based on performance. Celigo accommodates flexible work hours, including working from home.
